Methodology, Philosophy, Functionality

Our SharePoint CRM Templates are intended for organizations who have selected SharePoint as their “unified infrastructure”. As a template it is ready to be implemented out of the box. As a SharePoint product it can be extended to exactly match a corporation’s sales process or client management workflow.

SharePoint CRM Templates can be further revved up with a number of custom built and third party enhancements including a Report Extender for Reporting Services, a Mobile Connector for hand held devices, Work flow Engines, an Enterprise Calendar connecting to Exchange Server, etc. These final configurations can be done by an in-house IT department or by one of SharePoint CRM Template’s consulting partners.

SharePoint CRM Template is the answer for organizations that are looking for a more economical solution than is available from Enterprise CRM suppliers, or who are looking to be able to scale without the “cost per seat” penalty of a SaaS solution.

The Concept of “Continuous Improvement”

Software can be a powerful catalyst to support operational improvements. You can streamline business processes and procedures, reduce costs and improve human output and results.

By introducing the methodologies of “Continuous Improvement” into your CRM implementation you will gain a competitive advantage for your business. Here is how it works:

1) have a goal of what you want to accomplish;
2) begin with the end in mind – think about the outcome you seek;
3) accept change is work and Star Trek exists in the movies – not in software;
4) don’t try to eat the elephant in one sitting – take it one step at a time;
5) look for the sweet spot – remember “what’s in it for me” and give it to the users;
6) don’t give up half way up the mountain – breathe and keep going.

Nothing happens overnight and there are no magic pills – not to lose weight – not in sales and marketing, production or any aspect of business – and definitely not in CRM Software. Change takes work and time but the effort is well worth the results.

By embracing “Continuous Improvement” in your software implementation you embark on a journey of “Business Discovery”. You will learn more about your business every step forward. By continuing to “tweak” your software to further tighten the support of your processes the light will shine on the answers you need to evolve. When your software, your processes and your people are all dancing to the same music you will realize the benefit that others who expect the instant results are still dreaming of.

Want assistance with the process? Our Rolling Start and Silver Bullet Programs are designed to just that.

Dashboards

It’s easy to set up New Web Part Pages as part of your CRM implementation. Below you can see an example of our Dashboard.

Use your imagination and you can make these Dashboards very useful for your users.

Lead Management

All new sales opportunities start with a Lead! In SharePoint CRM Template a Lead is an unqualified prospect of your product(s) and service(s).

The Lead Management section can be used for importing lists into the CRM for a lead generator/telemarketer to call and qualify. It can also serve as a quick and easy way to create an Account, Contact and Opportunity with a Follow-Up Task/Appointment.

If you have no need for Lead Management, simply remove it from your CRM Template.

Lead

Account Management

An Account is a Customer, Prospect, Vendor, Partner or any type of company you do business with. Set up an unlimited number of fields using SharePoint’s Column fields and then with our highly configurable web parts you can personalize our forms to your specific business needs.

Accounts are linked to Contacts, Emails, Tasks, Appointments, Notes, Opportunities, Cases, Projects, Interactions, Documents and more. Don’t like the label “Accounts”? Change it within our powerful CRM Advanced Settings Configurator! Don’t like the field displays or colors? Change them.

Have an existing Account list? Use our powerful CRM Importer to import a list or reconstruct an existing CRM system should you be switching.

If you are in a Business to Consumer business, we have an Individual Template for you.

If you need to manage Stakeholders and Issues we can demonstrate our SharePoint Stakeholder & Issue Management Software – contact our Sales Department at 1-877-922-4357.

Contacts

Add an unlimited number of contacts for each Account. Contacts have related lists, such as Tasks, Interactions, Emails, etc. All Contact details roll up to the Account where you will see a complete picture of all items.

Prefer an Individual based Template, we can provide that in replacement of Accounts/Contacts.

Contact

Interactions

This is where the “who is talking to who, about what…” is stored. Every type of communication from face-to-face sales meetings to telephone project meetings are stored and segmented in this part of the application.

The Outlook Plugin will convert emails to Interactions or save the email and link it to an Interaction. Interactions can be attached to Accounts, Contacts, Opportunities, Cases, Projects or any custom embedded list you may create.

Ever wondered how many interactions were made about specific topics in your business? Now it’s possible with a couple of clicks of the mouse.

Opportunity Management

Opportunities are related to Accounts and Contacts. Create an Opportunity early in the sales process and relate all interactions, quotes, emails, etc. to it. These “easy to achieve” steps will provide valuable information to your organization and make it easy for sales people to focus on the most important aspects of their work.

You can personalize the Opportunity module to mirror your sales tracking requirements.

“Out-of-the-Box”, the SharePoint CRM Template Opportunity module is ready to go with basic fields to provide a pipeline view of what is due to close in the next 30, 60 or 90 days plus many more useful screens.

Within an opportunity you may wish to track the number of interactions required to win deals. With a special integration between Opportunities and Interactions it is super easy for sales people to update required fields – a task we know they prefer not to do!

Notes

Notes can be used for any type of data that doesn’t fit elsewhere. Use them for logging media commentary, technical details or accounts receivable calls.

Attach notes to any primary list, such as Accounts, Contacts, Cases, Projects and Opportunities.

Note

Tasks and Calendar Appointments

Tasks and Calendar Appointments are critical elements for managing time and events in business today. With so much going on we must use Tasks (reminders to do something BY a certain time/date) and Appointments (specific scheduled appointments with a start and end time/date) to manage our commitments.

The Outlook Plugin adds another dimension to this segment by enabling the pulling of Tasks into Outlook and creating Appointments in Outlook and attaching to the CRM record.

Documents, Templates & Merge

There are many features and ways of working within this section of the CRM. Simply upload any type of document to Accounts, Contacts, Cases, Projects, Opportunities or other embedded list.

A merge function can be attached to any of the embedded lists where a Template letter is drawn from the Templates folder and merged and saved to the record it is drawn from. An excellent way to “Create an Estimate/Quote” for Opportunities.

New Accounts can have document folders automatically created or not as your requirements dictate.

Outlook Plugin

Our Outlook Plugin is a powerful add-in to Outlook enabling many functions as shown below. The goal of the Plugin is to connect Outlook to the CRM in reasonable and logical ways by streamlining the processing of email communication to the CRM and bringing Contacts and Tasks from the CRM to Outlook for offsite use and efficiency.

Outlook 2007 and 2010 only.

Advanced Search and Campaigns

The Advanced Search provides the functions necessary to build specific target lists. For example, if you wish to pull a list of all technical contacts for Accounts in a specific market segment or geographic area or a list of Prospects interested in a specific Service you offer this is the function for you.

The list can be exported to Excel for uploading to your favorite email service or merging with Word. Use the Email Results to combine all the email addresses into one bcc email.

Other features, such as connection to Mail Chimp Email service being released first quarter 2012.

Charts & Graphs

We understand the importance of reporting to the return on investment you will receive from your CRM software. However, we also know how challenging it can be to get the reports you need, accurately, easily and in real time. SharePoint CRM has several reporting options available from the inexpensive and easy to the complex and expensive.

Below are a few examples of what you can do. For more examples of report options register for online access to our demo site here.

Case Management

A “case” is any transaction, service or response that is “opened” and “closed” over a period of time to achieve resolution of a problem, claim, request, proposal, development or other complex activity.

Attach Cases to Accounts, Opportunities or any other embedded CRM List. Track the details of your cases that are important to you with our easy to configure forms, displays and grids.

Time can be tracked using our Interactions items.

Configuration Settings

The SharePoint CRM application has a powerful Permission and Settings Control Configurator (we cannot demonstrate this online as it really is the secret power of our CRM) that enables our clients to personalize and manage their own CRM. For a discussion on the benefits of this feature call our Sales Department.

By taking advantage of the powerful features available in Microsoft’s SharePoint platform we are able to offer a CRM Template that is super easy to use, scalable and affordable.

Next Step Workflows

The Next Step system in SharePoint CRM ensures that users always have a “next step” in front of them upon concluding an action. This pop-up window appears in when a new item is saved, with options that are easy to configure to suit your business.
