Our SharePoint CRM Templates are intended for organizations who have selected SharePoint as their “unified infrastructure”. As a template it is ready to be implemented out of the box. As a SharePoint product it can be extended to exactly match a corporation’s sales process or client management workflow.

SharePoint CRM Templates can be further revved up with a number of custom built and third party enhancements including a Report Extender for Reporting Services, a Mobile Connector for hand held devices, Work flow Engines, an Enterprise Calendar connecting to Exchange Server, etc. These final configurations can be done by an in-house IT department or by one of SharePoint CRM Template’s consulting partners. Please note that it should be handled by a person that falls into the categories mentioned above. The individual would need knowledge of SharePoint and of course should have access to a good broadband connection.

SharePoint CRM Template is the right solution for organizations who are looking for a more economical solution than is available from Enterprise CRM suppliers, or who are looking to be able to scale without the “cost per seat” penalty of a SaaS solution. A further enhancement – CRMConnect – required to manage “many to many” relationships, vital to design, construction, architectural industries, etc. is now included in the Basic version.

Leads

All new sales opportunities start with a Lead! In SharePoint CRM Template a Lead is an unqualified prospect of your product(s) and service(s).

You can use the Leads section for importing lists into and for a lead generator/telemarketer to call and qualify or you may use it as a quick and easy way to create an Account, Contact and Opportunity with a Follow-Up Task/Appointment.

If you have no need for Leads, simply remove it from your CRM Template.

Accounts

An Account can be a Customer, a qualified Prospect or a Reseller. Set up an unlimited number of fields using SharePoint’s Column List and then with our highly customizable web parts you can create display pages that suit your specific business needs.

Don’t like the label “Accounts” – you can easily change it within our powerful Settings Configurator! Accounts are linked to Contacts, Emails, Tasks, Appointments, Notes, Opportunities and Interactions. Don’t like the field displays or the colours? Change them. Best of all, we take advantage of cool SharePoint features such as “Alert Me” so you will be notified of new Accounts that are added or changed.

Have an existing list to bring in. No problem. We have developed an Account/Contact Importer so that you can import one list with multiple contacts for the same company or separate lists with related companies and contacts to save you time and streamline your launch process. Contacts

You can set up an unlimited number of contacts for each Account and each Contact can have related lists. When creating a new item such as a Task for an Opportunity, you can choose from all Account’s contacts to create the Main Contact. All details related to Contacts will show up on the Contact’s personalized Display pages so you can easily see the items specific to each Contact however, all details roll up to the Account where you will see a complete picture of all items.

Prefer an Individual based Template, we can provide that in replacement of Accounts/Contacts.

Interactions

Keeping track of every interaction that your users have with the outside world (customers, prospects, resellers, suppliers) will ensure that relationships are managed and if people leave the historical log of communications is intact. Your intellectual property!

By Using the Outlook Connector you can easily attach email communication to ensure that all points of contact are logged against the correct record, whether that be an Account, Contact or Opportunity.

Ever wondered how many interactions were being made about specific topics? Now it’s all possible with a couple of clicks of the mouse.

Opportunities

Opportunities are related to Accounts and Contacts. Create an Opportunity early in the sales process and relate all interactions, quotes, emails, etc. to it. These “easy to achieve” steps will provide valuable information to your organization and make it easy for sales people to focus on the most important aspects of their work.

You can personalize the Opportunity module to mirror your sales tracking requirements.

“Out-of-the-Box”, the SharePoint CRM Template Opportunity module is ready to go with basic fields to provide a pipeline view of what is due to close in the next 30, 60 or 90 days plus many more useful screens.

Within an opportunity you may wish to track the number of interactions required to win deals. With a special integration between Opportunities and Interactions it is super easy for sales people to update required fields – a task we know they prefer not to do!

Notes

Notes can be used for anything you need. Some customers will use them for collecting details such as mergers or other public / corporate news item. Some will use them for Receivable Calls or Marketing Logs. Its up to you!

You can create a note and attach it to Accounts, Contacts and Opportunities.

Tasks and Calendar Appointments

Tasks and Calendar Appointments are critical elements for managing time and events in business today. With so much going on we must use Tasks (reminders to do something BY a certain time/date) and Appointments (specific scheduled appointments with a start and end time/date) to manage our commitments.

In SharePoint CRM, Tasks and Appointments can be added to Accounts, Contacts and Opportunities with hyperlinks for quick access.

Set up automated Alerts and Workflows to further enhance the Activity Management system.

Using the Outlook Connector create appointments in Outlook and send them to SharePoint to ensure that every appointment is attached to an Account/Contact or Opportunity.

Attach Documents

Upload any type of document to the modules of the SharePoint Templates and relate them directly to Accounts, Contacts or Opportunities.

Users can open, edit and resave the documents – which relationships will be maintained.

Outlook Email and Calendar Plugin

Our Outlook Email and Calendar Plugin enables the process of saving and attaching incoming and outgoing emails to Accounts, Contacts and Opportunities and creates a copy of Calendar appointments from Outlook to your SharePoint Calendar.

The Plugin enables Email communication and Calendar appointments to be centralized. In addition you may wish to use the Plugin to create an Interaction log for any communication sent via Email in order to maintain a complete record of all client communications.

Advanced Search

The Advanced Search provides the functions necessary for marketing to extract specific target lists. For example, if you wish to pull a list of all technical contacts for Accounts in a specific market segment or geographic area or a list of Prospects interested in a specific Service you offer this is the function for you.

The Advanced Search will create a Note for the activity performed to each of the resulting records. The list can then be exported to Excel for uploading to your favorite email service or merging with Word. Use the Email Results to combine all the email addresses into one bcc email.

Searching / Filtering

Our built-in CRM-specific search will find any field inside your CRM database. Seach for addresses, names, phone numbers, account numbers or any other field of your choosing.

Can be personalized to include additional fields added to modules.

Advanced Reporting

SharePoint offers useful “ad-hoc” reports within the View List system. For advanced reporting capabilities we offer an integrated series of reports developed specifically for SharePoint CRM Template using the Report Extender by Enesys Software Inc.


Many to Many Relationships

Need the ability to relate records outside the primary relationship of SharePoint CRM? No problem. With the CRM Connect you can create a “Many to Many” relationship capability in your CRM.

Inside an Opportunity you can connect Contractors from other Account records or in an Account record you can connect Resellers or Partners.

The CRM Connect Sub Grid is applied to any module and is bi-directional with a customized set of Reasons available in the CRM Configuration Settings.
